Privacy Policy

1. Who we are
Sold Out Collective (“Sold Out Collective,” “we,” “us”) operates the website at scancrew.appand the related application (the “Service”), which connects people in NYC with paid opportunities to attend concerts and collect ticket scans, and coordinates lending a device for each shift. This policy explains what we collect, why, and your choices. Questions? Email support@scancrew.app.
2. Information we collect
- Account details. Your name and email when you sign in.
- Worker profile & identity. To safely lend you a physical device, we collect your full name, contact email, phone number, mailing address, and a photo of your government-issued ID. This lets us verify who is holding our equipment.
- Availability & schedule data.The nights/time blocks you mark available, the shows you're assigned, your confirmations, device loans, and payout records.
- Push notifications. If you enable them, the push subscription token from your browser/device.
- Essential session data. A sign-in session cookie, plus standard server logs (IP, request metadata) for security and debugging.
We do not run advertising trackers or third-party analytics pixels.
3. How we use your information
- To verify your identity before lending you a device.
- To match you to shows on the nights you're available, build your schedule, and coordinate device pickup and return.
- To track and pay out what you've earned.
- To notify you about offers, confirmations, and pickups/dropoffs (push notifications you've opted into).
- To operate, secure, debug, and improve the Service.
We do not sell or rent your personal information.
4. Who we share with
- Railway — application hosting + our PostgreSQL database and file storage (where your ID photo is stored privately).
- Push services— your browser's push provider (e.g. Apple/Google/Mozilla) delivers notifications you opt into.
We read public event data from Ticketmaster's Discovery API— an outbound, read-only source; we don't send it your personal information. We may disclose information if required by law or to protect the rights, safety, and security of people or the Service. Your ID photo is never shared with other workers or third parties — only the operator can view it.
5. ID photo & data retention
Your ID photo is stored privately and is viewable only by the operator, solely to verify you before a device handoff. We keep it while your account is active and approved. We delete your ID photo within 30 days of your account being rejected, suspended, removed, or deleted. The operator can also delete it sooner on request.
Other account data (schedule history, payout records) is kept while your account is active and for a limited period afterward as needed for legitimate business, tax, or legal reasons. Server logs rotate out on a limited schedule.
6. Cookies
We use a single essential cookie to keep you signed in. No advertising or analytics cookies, so no tracking-consent banner.
7. Security
We protect data with industry-standard measures: encryption in transit (HTTPS), access-controlled storage, and an ID photo kept outside any public path and served only to the operator through an authenticated route. No system is perfectly secure, but we work to protect your information and limit access to it.
8. Your rights and choices
You can review and update your profile in the app, turn push notifications on/off, and request access to, correction of, export of, or deletion of your personal information (including your ID photo) by emailing support@scancrew.app. California (CCPA/CPRA) and EEA/UK (GDPR) residents have additional rights; we don't sell or “share” personal information as those laws define it.
9. Age
The Service is for adults (18+). We do not knowingly collect information from minors. If you believe a minor provided us information, contact us and we'll delete it.
10. Changes
We may update this policy. We'll revise the “Last updated” date and, for material changes, take reasonable steps to notify you.
